Check-In / Check-Out Information

Fall Check In

All students must check in with Residence Life Staff Members before moving into the residence halls. In order to check in, students must first be cleared by both the Health Center and the Bursar's Office. In order to receive these clearances, students must have all health insurance paperwork and forms turned into the Health center, as well as have the balance of their student account cleared. Residence Life Staff members will be stationed at several locations across campus in order to check students into their appropriate buildings. When students check in, they will each recieve a room key, a Room Condition Report (RCR), a Welcome Packet, a cable channel guide and a current Student Handbook. Once all clearances are received and a student collects all appropriate check-in materials, residents may then report to their room to fill out their RCR. This must be done immediately upon entering the room to inspect for any previous damage in the room prior to arrival. After the resident returns their RCR to a member of the Reisdence Life Staff, they are then free to move in their belongings and begin organizing their room. If a student has questions or room concerns at any time during the check-in process, they should address any member of the Residence Life Staff for assistance.

Spring Check Out


Before vacating a residence hall, each student is required to check out with a member of the Residence Life Staff. Students must complete the following steps prior to their check out:
  • Where applicable, vacuum and clean (if stained) carpet
  • Sweep and mop floors
  • Dust furniture
  • Close and lock windows, pull down blinds
  • Return furniture to the original set-up
  • Clean MicroFridge
  • Clean bathroom, where applicable, including the shower, commode, sink, mirror and floors
  • Remove all personal belongings and trash from the room.

Once these items are completed, each student must check out with a Resident Assistant (RA). The RA will accompany the resident to the room and perform an initial inspection of the room. At this time, each student should discuss any damages that occurred during their stay. The RA will then complete the student's RCR and request the signature of the student for verification of a proper check out. At this time, the appropriate room key will be collected, and the student is free to go.

Checking in or out during the school year

If a student is moving in at a time other than the beginning of the semester or moving out at the end of the school year, please contact the Residence Life Office at 215-489-2215 for specific instructions on when and where to complete the above steps.

Room Condition Reports and Damage Billing


Upon checking in to a residence hall room, each student is issued a Room Condition Report (RCR). On this form, each part of the room and its contents are listed with space for students to list any wear, damage or repair needs that were present in the room prior to a student moving in. It is important for students to perform an accurate and thorough evaluation of their room to avoid end-of-year charges for pre-existing damage. When a student checks out of their room, Residence Life Staff will again use a student's RCR to compare the current condition of the room to that at move in. Any new damages noticed by the RA will be listed on the RCR, and each student will receive a copy of their completed RCR after checking out.

Damage Billing


After all students have vacated a room, an Area Coordinator, along with Maintenance Personnel, will inspect each room using the completed check out RCR for each student. Any damage to the room that was listed on the RCR as pre-existing will not be charged to the occupants of the room. Normal wear and tear on a room will not be charged to the students either. Other damages that are found during the inspection will then be charged equally to each of the room’s residents. These bills are normally generated in the first week of June. If a student wishes to appeal damage charges, a written letter of appeal must be submitted to the Residence Life Office via written letter or email (housing@delval.edu). All appeals must be received or postmarked no later than July 1.

Here are some common damage charges that you can avoid:

  • Wall Patch & Paint: $60/wall (most commonly charged for wall damage by tape, glue, hooks, nails, etc.)
  • Carpentry Labor: $34.75/hour (most commonly charged for scratches, cracks, holes and damage in room furniture)
  • Housekeeping Charge: $35/student (most commonly charged for a room not properly and thoroughly cleaned prior to move out)
  • MicroFridge Cleaning: $25/student (charged when students do not empty, defrost or clean their MicroFridge Unit)
